Volunteer Requirements
It takes a community to run a successful youth hockey program, and we are incredibly grateful for the dedication of our volunteers—coaches, team managers, coordinators, committee members, game operators, and everyone who contributes their time, energy, and expertise to make MWC thrive! Believe it or not, it takes upwards of 7,000 volunteer hours (not including coaching) to run a program like ours.
To support the long-term success and stability of our program, we’re introducing a family volunteer requirement starting in the 2025-26 season. This will help alleviate volunteer gaps, reduce strain on our current volunteers, and ensure that we can continue to offer quality programming at an affordable cost. We’ve benchmarked this policy against other successful programs, and we believe it’s the best path forward (every Region 5 associations have a program like this). Please read below for more details and note the requirements are not the same for every level. Thank you in advance for volunteering!
How it works
Per family fee collected during registration
- $400 - Oldest registered player is a Squirt/Pee Wee/Bantam
- $100 - Oldest registered player is a Mite
- $0 - Oldest registered players is an Atom
To keep registration and volunteer program management as straightforward as possible, ALL families pay the volunteer fee when registering.
Ways to meet volunteer requirements
Filling a significant volunteer role: President, Secretary, Treasurer/Registrar, VP, Level Coordinator, Goalie/Safety/Team Manager/THFF Coordinators, Scheduler, Practice Scheduler, Fundraising, Marketing/Memberships, Credentialing/Certifications, Equipment Manager, Spiritwear, Social Media, Webmaster/IT, State Tournament Director, WAHA Liaison, Practice Facility Coordinators, Coaches, Team Managers

Fulfilling 10 shifts of any combination of the following (or 3 shifts if your oldest is a Mite):
- Team-specific opportunities:
- The following will be added by your Team Manager as 'Assignments' within corresponding games/practices in the Crossbar app. Grab assignments, and your volunteer shifts will be credited periodically throughout the season.
- Each SQ/PW/BAN home game requires 4 parent volunteers: to run the clock, record goals/penalties/shots in Gamesheet, and work the penalty boxes. Some away games (mostly Madison area and tournaments) may need one volunteer to work our penalty box. As many parents are already volunteering that day as a Coach or Team Manager, it is imperative that ALL other families sign up for an equal share of in game volunteer duties, to help fulfill their 10 shifts or beyond as needed.
- Each SQ/PW/BAN practice requires a locker room volunteer.
- Each Mites home game requires a volunteer to run the clock.
- Club-wide opportunities: Ad hoc event volunteer time and other opportunities that may be announced during the year (beginning/end of season events, playdown and/or state tournament hosting, etc.) Keep an eye out for emails with event specific information and registration links. We have openings we need to fill for other roles within the club!
Refund of volunteer fee
Volunteer fees will be refunded at a few different times per year for those who have met the requirement by that point in time. At minimum, a round of refunds will be issued:
- Around the start of the season
- Middle of the season (post 12/31)
- After the season
The fee will NOT be refunded if the requirements are not met. There are no partial refunds.
